Nature and Scope
The Payroll & Benefits Officer plays a key role in maintaining, processing, and supporting the payroll and general Human Resources functions. This position is primarily responsible for processing and administering payroll within SIIT. General Accountability
The Payroll & Benefits Officer is accountable for the accurate and timely processing of payroll, maintenance of faculty and administration payroll files and preparation of payroll-related remittances. This position will also provide overall support to the Employee Services department within Human Resources, utilizing SIIT's human resources management system (HRMS).

Specific Accountabilities
The Payroll & Benefits Officer is responsible for carrying out the day-to-day processing of payroll, including preparing payroll-related schedules and reconciliations and payment requisitions for payroll remittances. This position provides additional support as required and includes the following broad range of accountabilities:


  • Prepare faculty and administration pay schedules for review, based on employment contracts
  • Process payroll in compliance with internal policies, Employment Standards, and other applicable legislation, while ensuring payroll is delivered accurately and on time
  • Generate or prepare payroll and remittance reports
  • Prepare Record of Employment and other required documents for review
  • Assist with preparation and processing of annual T4's and T4 summary
  • Assist with various projects affecting payroll systems and services
  • Stay informed about changes in legislation and filing requirements that apply to the payroll process
  • Maintain a consistent information flow between payroll, employees within the HR team, and other departments as needed
  • Act as a resource to faculty, administration and managers on payroll matters
  • Assist in the administration of SIIT's group benefits and pension plans, including calculation and remittance of contributions and premiums
  • Assist and contribute to the development and maintenance of an effective process and procedure manual
  • Ensure employee profiles within the HRMS are updated with applicable payroll changes
  • Support supervisor with regular HRMS data entry
  • Collaborate with HR Analyst on entries in multiple payroll systems
  • Support the department regarding overtime calculations, banks, and payouts

Reporting & Compliance

  • Produce pay period and year-end reports as required
  • Assist and support the institute's annual external financial audit, preparing reports and providing support as necessary
  • Run and maintain reporting related to SIIT's group benefit and pension plans, providing support to direct supervisor as required
  • Produce reports using SIIT's human resources management system
  • Investigate and resolve discrepancies and issues, forwarding complex issues to supervisor
  • Ensure the strict confidentiality and privacy of information as it relates to faculty and administration, the Institute, and third parties
  • Ensure compliance with established financial, legal and/or administrative requirements
  • Stay current and compliant with payroll and financial regulations, standards, best practice and work methods

Required Qualifications and Experience: A diploma in business or a related field of study is required. A minimum of two years of practical experience in payroll is required; experience working directly in Sage 300 or Ceridian is considered an asset. An equivalent combination of education and experience may be considered. Knowledge of First Nations cultures and organizations would be an asset. This position is subject to accept or handle monies on behalf of SIIT. Therefore, a cleared criminal record check (CRC) is required.
